Privacy Policy

This Privacy Policy explains how AirData IOT™ LLC ("AirData," "Company," "we," "us," or "our") collects, uses, shares, and retains information when you visit our website, use our cloud platform, mobile and web applications, APIs, connected IoT devices, and related services (collectively, the "Services"). It also describes the choices and rights you have regarding your information.

By using the Services you agree to this Privacy Policy. This Privacy Policy is incorporated into and supplements our End User License Agreement (EULA).

2. Information We Collect

We collect the following categories of information:

2.1 Information you provide to us

  • Account and contact details (name, email address, company, phone number, role).
  • Billing and transaction information (you may also provide payment details directly to our payment processor).
  • Content you submit, such as device locations, contacts, notes, support requests, and bug reports.

2.2 Information collected automatically (website & application)

  • IP address, browser type and version, operating system, and device type.
  • Pages and screens visited, features used, links and buttons clicked, and other interaction ("UI usage") events.
  • Approximate location derived from IP address.
  • Cookies and similar technologies (see Section 3).

2.3 Device, sensor, and operational data

  • Telemetry transmitted by your connected devices, including sensor readings (e.g., fill level, temperature), connectivity and signal status, GPS/location, firmware version, and diagnostic data.
  • Operational records such as routes, installations, inventory, and merchandising data.
  • SIM/connectivity identifiers and carrier status for devices you manage.

2.4 AI interaction data

When you use our optional AI features (the AI Assistant / chat, AI Jobs, automated fleet sweeps, and AI memory), we collect:

  • The prompts, questions, and messages you send to the AI Assistant, and the responses it generates.
  • "Memory" entries — durable facts and preferences that you (or the assistant) save so it can personalize future responses.
  • Scheduled AI Job definitions and their run history/output.
  • The device, sensor, billing, and operational data the AI accesses on your behalf to answer your request, scoped to your account and the permissions of the requesting user.

2.5 API request, platform usage, and metering data

  • API request logs, including the authenticated user/customer identifier, IP address, request path/endpoint, method, timestamp, response status, and error codes.
  • Product usage and feature analytics (which screens, reports, and features are used, and how often).
  • AI usage metering — counts of AI requests and token consumption per account, used for rate-limiting, cost control, and billing.
  • API key creation, use, and revocation events.

2.6 Diagnostic and bug-report data

When you submit a bug report, or when the application records diagnostics, we may collect application logs, recent console messages, network error details, browser/window error traces, the page/route you were on, your app version and environment, and any screenshots you choose to attach. Please avoid including sensitive personal information in screenshots or free-text fields.

3. Cookies and Tracking Technologies

We use cookies and similar technologies (such as local storage) to:

  • enable essential website and application features;
  • remember your preferences and keep you signed in;
  • analyze website and product traffic and improve performance.

You can disable cookies through your browser settings, although some features may not function properly as a result.

4. How We Use Your Information

We use the information we collect to:

  • operate, maintain, and secure the website, platform, devices, and APIs;
  • provide, personalize, and deliver the Services, including AI features you choose to use;
  • provide customer support and respond to bug reports and requests;
  • analyze usage to debug, maintain, and improve system functionality and reliability;
  • meter usage and calculate, invoice, and collect fees;
  • detect, prevent, and investigate fraud, abuse, and security incidents;
  • comply with legal obligations and enforce our agreements.

5. Artificial Intelligence (AI) Features and Automated Processing

Our platform includes optional AI features that help you interpret device and operational data — for example, an AI Assistant you can chat with, automated fleet "sweeps" that surface predicted failures, restock forecasts and anomalies, scheduled AI Jobs, and an AI "memory" of durable account facts and preferences.

5.1 What the AI uses and why

To respond to your request, the AI processes the inputs you provide together with the device, sensor, billing, and operational data already in your account, scoped to the permissions of the requesting user. We use this data solely to generate the requested output, operate the feature, secure and debug it, and meter usage.

We do not use your account content, conversations, device data, or operational data to train publicly available or third-party "foundation" AI models. Where AI features are powered by large language models that we host and/or access through vetted third-party AI providers, those providers act as our subprocessors: they process your inputs only to return a response to us and are contractually prohibited from using your data to train their own models.

5.2 AI providers (subprocessors)

AI features may be served by language models we self-host and/or by third-party AI model providers acting on our behalf under written agreements that require appropriate confidentiality, security, and use restrictions. A current list of AI and other subprocessors is available on request (see Section 14).

5.3 No automated decisions with legal or similar effect

AI outputs are advisory and decision-support only. They may be incomplete or inaccurate and are not a substitute for human judgment or operational oversight. We do not use AI to make decisions that produce legal or similarly significant effects about an individual without human involvement. You are responsible for reviewing AI output before acting on it.

5.4 AI data retention and your controls

  • AI conversations are retained until you delete them or your account is closed.
  • AI "memory" entries are retained until you (or an authorized administrator) remove them; you can view, edit, and delete them from the AI Operations area.
  • AI Job definitions and run history are retained until deleted.
  • Account administrators control which roles may use, configure, or delete AI features and shared AI memory for the account.

6. Sharing of Information

We do not sell your personal information. We share information only as described below:

  • Service providers / subprocessors who process information on our behalf and under contract — including cloud hosting and infrastructure, connectivity/SIM carriers, payment processing, analytics, customer communications, and AI model providers (see Section 5.2).
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to this Privacy Policy.
  • Legal and safety — when required by law, legal process, or to protect the rights, property, or safety of AirData, our customers, or others.
  • With your consent — when you direct us to share information.

We may use and disclose aggregated or de-identified information (which cannot reasonably be used to identify you) for analytics, benchmarking, and product improvement.

7. Data Retention

We retain information only for as long as necessary for the purposes described in this Policy, to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods include:

  • Account and billing records: for as long as your account is active, and thereafter as required for tax, accounting, and legal purposes.
  • Device, sensor, and operational data: for the life of the account, unless you request earlier deletion.
  • API request logs, product usage, and analytics: generally up to 12–24 months.
  • AI conversations, memory, and job history: until you or an administrator delete them, or until account closure.
  • Bug reports and diagnostics: for as long as needed to investigate and resolve the issue, and a reasonable period thereafter.

We may retain de-identified or aggregated information for longer where it no longer identifies you.

8. Data Security

We implement administrative, technical, and physical safeguards designed to protect information, including access controls, encryption in transit, role-based permissions, and tenant isolation. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

9. Children's Privacy

The Services are not directed to individuals under 13, and we do not knowingly collect personal information from children. If we learn that we have inadvertently collected such information, we will delete it.

10. Third-Party Websites and Services

The Services may link to or integrate with third-party websites and services that we do not control. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. Please review their policies.

11. Your Privacy Rights (California Residents)

Subject to applicable law, including the California Consumer Privacy Act as amended (CCPA/CPRA), California residents have the right to:

  • know and access the personal information we collect, use, and disclose;
  • request deletion of personal information (including AI conversations and memory);
  • request correction of inaccurate personal information;
  • opt out of the "sale" or "sharing" of personal information (note: we do not sell personal information);
  • limit the use of sensitive personal information; and
  • not be discriminated against for exercising these rights.

To exercise these rights, contact us using the details in Section 14. We will verify your request as required by law. You may use an authorized agent where permitted.

12. International Data Transfers

We are based in the United States, and information we collect is processed and stored on servers in the United States. If you access the Services from outside the United States, you understand that your information may be transferred to, stored, and processed in the United States.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version with a revised "Last Updated" date, and, where appropriate, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
